Changes for existing members

Will my On Business account number change?

Yes, your On Business number, which is used to track your flights and award On Business Points, will change.

Please inform everyone who books travel on behalf of your company to use the new account number as soon as possible. You will still be able to track your spending using your old account number until 31 December 2015.

Changes for Travel Agents
show

For any booking made after the 12th May 2015, you will be required to enter the new On Business number in the below format depending on your GDS:

SSR CLID Entries for the Trade
A single SSR CLID entry needs to be added to the PNR for each participating airline (BA, IB or AA) in the itinerary.
 
Example 1: LHR BA JFK BA LHR
Enter single SSR CLID entry for carrier BA
 
Example 2: MAD IB LHR BA JFK AA CDG IB MAD
Enter 3 x SSR CLID entries – one for carrier IB, one for carrier BA and one for carrier AA
 
Example 3: JFK BA LHR CX HKG
Enter single SSR CLID entry for carrier BA
No entry for CX as not part of programme
 
NB: If SR CLID CX entered it will either error at time of entry (if CX does not have bilateral agreement for use of SSR CLID with the booking GDS) or be rejected/ignored by Carrier CX as information is irrelevant to them.
 
Please note: in all examples below OB12345678 = the On Business Membership Number. The format will always be OB followed by 8 numerics.

Will my log in details change?

Your On Business Login ID will be the same as today, but we will send each member a new password.

You can change your Login ID to something else, and you will be asked to change the temporary password the first time you log in.


Earning On Business points

How does my company earn On Business points?
show

You can earn On Business points:  

  • on qualifying flights with American Airlines, British Airways, Iberia and all eligible partners and
  • by using the British Airways American Express Corporate Card or Corporate Plus Card.


Flights
A qualifying flight encompasses all fares except discounted and Hand Baggage Only fares, which is the majority of economy and all business class fares.  

Which fares earn On Business points?

Just enter your On Business member number when you book, or give it to a Nominated Travel Agent, so that you can collect your points.
If you've already flown as an On Business member, you can claim for flights up to four months after the date of travel.

Credit cards
When you book flights using British Airways American Express Corporate Card or Corporate Plus Card:

  • you will earn 50% more On Business points
  • you get Business Travel Accident, Travel Inconvenience, and Baggage and Personal Possessions cover included
  • you can access cash from ATMs across the world
  • employee card members, who are part of the Executive Club, also earn Avios.
Can I collect points on my frequent flyer programme as well as On Business points?

Yes, you can earn points for yourself and points for your company. Just make sure you put your airline frequent flyer number into your bookings as well as your On Business number.

Do I have to be a member of a frequent flyer programme and On Business?
show

No, you can participate in the On Business programme without joining a frequent flyer programme. However, you can earn points for yourself with a frequent flyer programme which will give you a number of rewards as a traveller.

You can join the British Airways Executive Club for free and earn Avios for yourself, which you can spend on reward flights and upgrades.

How do I manage my Avios points?

You need to be a member of the British Airways Executive Club, Iberia Plus or Avios Programme to collect and spend Avios.

You can log in and manage your Executive Club account on ba.com.

How are On Business points calculated?
show

The points you earn are based on your tier level.

Once you've joined, you'll automatically enter tier 1 of the On Business programme and progress through to tiers 2 and 3 as you spend more on company travel.

When you reach a new tier level, you'll be able to earn extra points for every £1 spent.

How many points do I earn for each On Business booking?

Dependant on your tier, you will earn at least one point for every pound you spend on the fare and fuel surcharge. You will not earn points on the taxes, fees and surcharges.

Here is an example of how the points are calculated:

Total price paid: £640

Fare + Fuel + Taxes, fees and surcharges

Tier On2: £540 x 1.25 = 675 points

Are there any other ways to earn On Business points?

You can earn 50% more On Business points when you book flights using British Airways American Express Corporate Card or Corporate Plus Card.

Once you have travelled, we will award points for qualifying flights within 14 days.

Do my company's On Business points expire?
show

Yes, your points are valid from the time they are appear on your account until the end of two calendar years after that time.

For example, if you earned points at any time during 2015, they are valid until 31 December 2017.

Points earned before 12 May 2015
Any points earned before 12 May 2015, which were transferred to your new account, will expire within 3 years ie. if you earned the points in 2015, they are valid until 31 December 2018.


Spending On Business points

Who can view and spend my company's On Business points balance?

The Company Authoriser, Programme Administrators and Nominated Travel Agents can manage the company's On Business points and book reward flights.

What are my company's On Business points worth?
show

You can use the points calculator to find out how much you need for any destination.

As an example, to book a return reward flight from London to New York in economy, you need 9,000 On Business points.

Based on your tier, this is what you would need to spend to earn 9,000 On Business Points:

Tier On1: £9,000
Tier On2: £7,200
Tier On3: £6,000

How can I spend my company's On Business points?

The Company Authoriser and Programme Administrator(s) can spend the company's points on:

  • reward flights (flights purchased with On Business points)
  • cabin upgrades
  • American Airlines, British Airways and Iberia, giving you great service on an extensive network of flights.
Can I spend On Business points on upgrades?
show

Yes, you can book an upgrade on British Airways and Iberia using your On Business points.

You need to upgrade using your points at the same time as you make your booking. This will need to be done on ba.com when you are logged in to your On Business account.

You cannot upgrade a booking with On Business points once it's been made.

Can I spend On Business points on lounge access or to choose a seat?

No, you cannot use On Business points on anything other than reward flights and cabin upgrades.

You can join the British Airways Executive Club for free to earn a number of travel benefits, including lounge access for Silver and Gold Members and free seat choice for all Members.

When can I start spending On Business points?

You can start redeeming your points once you have enough in your account to make a reward flight booking or to upgrade.

Can I make a last minute reward flight booking or make changes to a reward flight?

Yes, you can spend points up to one day before travel, and make date and time changes to your reward flights, for which you may be charged a fee.


Discounts

What discounts will I get on flights booked through On Business?
show

You will be offered member-only discounts on many of our flights worldwide, of at least 5% off the fare.

Can I collect On Business points on discounted flights?
show

No, you can either get a discount or choose to collect On Business points, not both.

You will be asked to choose the type of booking you want to make before you search for flights, i.e. standard prices which earn you points or discounted prices which don't.

Can I combine a discounted flight with a non-discounted flight and still earn On Business points?

Yes, although you can choose a discounted flight and standard flight within the same booking, you will not earn On Business points for the entire booking.


Tiers

How many On Business tiers are there?
show

There are three tiers – when you join, you'll automatically enter tier 1 of the On Business programme and progress through to tiers 2 and 3 as you spend more on company travel.

For other travel benefits, such as lounge access, individuals will need to join a frequent flyer programme.

How is my company's On Business tier calculated?

Your tier is based on the amount your company has spent in one year on travel with On Business. If you progress to the next tier within the year, you will start to benefit immediately, and you will retain your tier till the end of the next year.

How often does my company's On Business tier change?
show

Whichever tier you end the calendar year on will be the one at which you remain for the next year. If you company spend goes up or down during the next year, you will move to the relevant tier.

How soon will my company move up a tier when it's reached the required travel spend?

Your company will move up a tier immediately and start earning the new level of On Business points accordingly.


Offers

What kind of offers can my company expect to receive as a member of the On Business programme?

We will provide offers that are relevant to you, whether your preference is points or discounts.

We'll look to provide great opportunities to improve your earning potential and save even more money with On Business.

How often will my company receive On Business offers?
show

Your offers will be based on relevance and not just frequency. We will send you regular offers so you can make savings, but we won't overwhelm you.

Does my company need to activate or register for each On Business offer?
show

Some offers will require you to register your interest and to participate. This will help us to understand which offers appeal to you, so that we can provide more relevant offers.

Can I track my company's earning & spending through the On Business programme?

You'll have access to custom reporting so that you can understand all your travel spend. From a complete overview, to segmenting by department or individual, you can access all the details you need.

My profile

How do I manage my own profile?

Managing your profile

Once you are logged into your account you will be able to view or update your personal details, frequent flyer memberships, and your log in and password information.

Updating your personal details
Log in to On Business and then choose ‘My details' from the left hand side navigation. To edit your details click ‘Update details', make your changes and then click ‘Save'.

Updating your login and security information
Log in to On Business and then choose ‘Log in details and security' from the left hand side navigation. You are able to change your username, password and security questions.


Points and transactions

How can I track individual and company earnings and spending?

Your account activity

To view all your company account spending and earning activity, go to Points and transactions > Transactions statement. Within the statement you can view all company transactions or choose to filter transactions by any combination of date, business unit, person's name, booking reference and type of transaction.

Please note that our transactions may take up to 10 days to appear on your statement, while transactions from our partners may take longer.
How do I generate a report of all my company's On Business transactions?

Downloading and printing statements

Downloading statements PDF or Excel documents
You can create PDF or Excel reports of your company transactions by clicking on the Download icon within your Transactions statement page.

Using the date range selector and / or custom search filters, you can download custom reports that match only the date, business unit, name, booking reference or type of transaction criteria you set.

Printing statements
You can print reports of your company transactions by clicking on the Print icon within your Transactions statement page.

Using the date range selector and / or custom search filters, you can print custom reports that match only the date, business unit, name, booking reference or type of transaction criteria you set.
How can I check if all purchases are being tracked by the system?

Checking transactions

To view all your company account spending and earning activity, go to Points and transactions > Transactions statement. Within the statement you can view all company transactions or choose to filter transactions by any combination of date, business unit, person's name, booking reference and type of transaction.

Please note that our transactions may take up to 10 days to appear on your statement, while transactions from our partners may take longer.
How many points do I need to upgrade or book a rewards flight? How can I use points to upgrade?

How many points do I need?

To calculate how many points you may need for a flight or upgrade, use the points calculator found on your Dashboard page. This gives a illustrative estimate of the number of points required were you to book the flight today.
I believe my company is missing On Business points - can I claim for these?

Claiming for missing points

You can make a missing points claim for eligible transactions within the last four months using our missing points claim form:

Go to Points and transactions > Claim missing points > Claim form

Please note, it may take up to 14 days to process a claim and award points where applicable.
I believe my company has been awarded an incorrect number of On Business points – can I get these adjusted?

Incorrect points awarded

If you think the number of points awarded for a transaction is incorrect, please contact the customer support team. To find the correct contact details for your country, go to About On Business > Contact On Business.


Offers

I've seen an On Business offer I'd like to participate in – how do I activate or register for it?

Activating offers

The Offers page displays all the current offers your company is eligible for. To take advantage of an offer, click the ‘Activate' button next to each listed offer.

To view more information about an offer, click the ‘View details' link to go to the offer description page. You will also be able to activate the offer from this page.

Any current offers you have already activated will display an ‘Activated' message.

Any offers you had previously activated but are no longer available because they have expired, are shown in the ‘Expired offers' page.


Company account

How do I manage my company's details?

Updating your company address and profile details

Go to Company Account > Company details
Click the ‘Edit' button next to the company address or company profile details, make any changes and then click ‘Save'.
How do I add company employees to the company's On Business account?
show

Adding individuals

Only the Company Authoriser, Programme Administrators, or Nominated Travel Agents can add, update or remove Travellers.

Go to Company Account > Participants

Click ‘Add a new participant', enter the details of the new participant and then click ‘Save'. (See also sections below about setting the role of a new participant).

The new participant will receive an email notifying them that they have been added to your On Business programme and informing them how to access their online account.
What is the role of the Company Authoriser and how are they assigned?

Managing the Company Authoriser role

The Company Authoriser has overall responsibility for the company's participation in the programme. They are authorised to enrol the company into the programme, add or remove Programme Administrators, Nominated Travel Agents and participants, manage company information and make bookings.

The Company Authoriser must be a director, manager or other employee of the company. They cannot be an external travel agent or consultant.

How do I change the Company Authoriser?

Only the current Company Authoriser has permission to change the person acting as the Company Authoriser.

To assign another person as the Company Authoriser, the current Company Authoriser must first assign him/herself a different role. Only then can another person be chosen to become the new Company Authoriser.

To change the Company Authoriser go to Company account > Company Authoriser.

Click ‘Change the Company Authoriser'.

Assign the present Company Authoriser a new role (either Programme Administrator or Traveller) and click ‘Next'.

Click ‘Select the new Company Authoriser' button and then choose a person from the list of existing members of the programme by clicking on their name.

If you are happy with your selection, click ‘Save' – a dialog box will ask you to confirm the change of Company Authoriser.

The present Company Authoriser will be logged out and their new role will take effect the next time they log in. The new and previous Company Authorisers will receive emails confirming their respective change of roles.

What is a Programme Administrator and how are they created/removed?

Managing Programme Administrators

Programme Administrators manage the On Business programme on behalf of the company. They are authorised to add, update or remove company employees from the programme, appoint or remove Nominated Travel Agents, manage company information and make bookings.

A Programme Administrator must be an employee of the company. They cannot be an external travel agent or consultant.

How to assign a Programme Administrator role

When adding a new participant:

When adding a new person to the On Business programme, you will be presented with the option to assign their account role. Choose ‘Programme Administrator' from the list of available roles in the ‘Account role' drop-down menu located within the ‘Account information' section of the page.

Assigning Programme Administrator status to an existing programme participant:

To change an existing participant's account role to Programme Administrator, go to Company account > Participants.

From the list of programme participants click on the person you wish to make a Programme Administrator. Their Profile page will be displayed.

Click ‘Update details' on their Profile page.

Choose ‘Programme Administrator' from the list of available roles in the ‘Account role' drop-down menu located within the ‘Account information' section of the page.

Reassigning or removing a Programme Administrator

To reassign an existing Programme Administrator's role, select a different role for them using the ‘Account role' drop-down menu located within the ‘Account information' section of their Profile page.

Alternatively, remove this person completely from the programme by clicking ‘Delete participant' on their Profile page.

What is the role of the Nominated Travel Agent and how are they added or removed?

Managing Nominated Travel Agents

You can nominate one or more travel agents to administer key aspects of the programme on behalf of your company. They can access the company account to book flights, redeem your points for reward flights and upgrades, and add or remove employees from the programme.

You can nominate multiple agents from any travel agency with the ability to add and change them at any time.

How to add, update or remove a Nominated Travel Agent

Adding a Nominated Travel Agent
Go to Company Account > Nominated Travel Agents

Click ‘Add a new travel agent', enter the name, business and contact details of the travel agent and then click ‘Save'.

The travel agent will receive an email notifying them that they have been added to your On Business programme and informing them how to access your company account.  

Updating Nominated Travel Agent details
Go to Company Account > Nominated Travel Agents
Click the ‘View/edit' button for the Nominated Travel Agent you wish to update.
Click ‘Edit details', amend the travel agents details and then click ‘Save'.

Removing a Nominated Travel Agent from your On Business account
Go to Company Account > Nominated Travel Agents
Click on the trash can icon next to the Nominated Travel Agent you wish to remove.
You will be asked to confirm that you want to delete the selected travel agent.

Travellers: Who are they and how are they added or removed?

Managing Travellers

Travellers are the regular participants within your programme who do not have special privileges like the Company Authoriser, Programme Administrator or Nominated Travel Agents.

They can book On Business discount flights and On Business points-earning flights, but they cannot spend or redeem company On Business points on flights or other programme services.

Adding, updating and removing Travellers
Only the Company Authoriser, Programme Administrators, or Nominated Travel Agents can add, update or remove Travellers.

Adding a Traveller
Go to Company Account > Participants

Click ‘Add a new participant', enter the details of the new participant and then click ‘Save'.

The new participant will receive an email notifying them that they have been added to your On Business programme and informing them how to access their online account.

Updating Traveller details
Go to Company Account > Participants
Click to select the Traveller you wish to update.
Click ‘Update details' on their profile page, amend the Traveller's information and then click ‘Save'.

Removing a Traveller from your On Business account
Go to Company Account > Participants
Click to select the Traveller you wish to delete.
On their profile page, select ‘Delete participant'.
You will be asked to confirm that you want to delete the selected Traveller.
What is the role of the Primary Contact and how are they selected?

Managing the Primary Contact

The Primary Contact will be main contact for any issues relating to the company's On Business account. If we need to speak to your company this is the person we will contact.

Setting the Primary Contact
Go to Company Account > Primary contact
Click ‘Change contact' and select a person from the list of participants displayed.
What is a Business unit?  How do I add, delete or edit a Business unit?

What is a business unit?

Create business units so you can track points and travel spend by department or cost centre. Any programme participant or transaction made within your On Business company account can be assigned to a business unit you have created.



Adding, deleting or updating a business unit

Adding a business unit
Go to Company Account > Business units
Click ‘Add a new business unit' and enter a name of the new business unit and click ‘Save'.

Edit the name of a business unit
Go to Company Account > Business units
Click the ‘Rename' button next to the business unit you wish to edit.
Re-type the business unit name and then click ‘Save'.
Note: Any participants or transactions already assigned to the original business unit name will continue to display the original business unit name.

Removing a business unit from your On Business account
Go to Company Account > Business units
Click on the trash can icon next to the business unit you wish to remove.
You will be asked to confirm that you want to delete the selected business unit.
Note: Any participants already assigned to the deleted business unit will no longer belong to a business unit.


Logging in

I have lost my login details

Forgotten your username?

Please contact your Programme Administrator. They will be able to provide you with your On Business username.

Forgotten your password?

Click on the ‘Forgotten your password' link on the On Business Log in page. You will be prompted to enter your username and click ‘Submit'.

We will then send you an email with instructions on how to reset your password.

 

Why can't I log in to both my EC and OB at the same time on BA.com?

Unfortunately it's not technically possible to be logged into both accounts at the moment.

However, you can add both your Executive Club and On Business membership numbers to all your bookings and collect Avios, Tier Points and On Business points.
